Edit users in the Users grid

Each row in the users grid has a context menu which you can open by clicking on the context menu icon (...). The context menu options available in "edit" mode  are:

 

 

Delete a user

Steps to delete a user:

 

1. Select the Delete option from the user's context menu.

2. Click on the Yes button in the confirmation pop-up window.

 

A success notification appears once the delete operation is successfully completed. The deleted user is no longer visible in the users grid.

 

Deactivate/Activate a user

Only active users are allowed to login through ATS Security authentication. Deactivated users will not be logged in despite providing valid login credentials.

 

Steps to deactivate an active user:

 

1. Select the Deactivate option from the user's context menu.

2. Click on the Yes button in the confirmation pop-up window.

 

A success notification appears for successfully deactivated user. The user is no longer visible in the users grid - active users view. To see deactivated users select the Deactivated or All radio button options in the Users grid.

 

Steps to activate a deactivated user:

 

1. Select the Activate option from the user's context menu.

2. Click on the Yes button in the confirmation pop-up window.

 

A success notification appears for successfully activated user. The user is no longer visible in the users grid - deactivated users view. To see active users select the Active or All radio button options in the Users grid.

 

Unlock locked user

 

Users end up in locked state after entering wrong password for the configured number of times (when user lockout is enabled in ATS Security). Locked users cannot login to ATS Security until their account is explicitly unlocked by the Administrator user or until the lockout duration expires and their account is automatically unlocked.

 

Steps to unlock a locked user account:

 

1. Select the Show only locked check-box in the Users - All users grid All users view.

2. Select the Unlock option from the user's context menu.

3. Click on the Yes button in the confirmation pop-up window.

 

A success notification appears for successfully unlocked user. The user is no longer visible in the users grid when the Show only locked check-box is checked. To see the unlocked user remove the check from this check-box.

 

Approve registration for a user

Users that register from the login page (when user self-registration is enabled) will end up in the Pending approval state when Administrator approval is required for self-registered accounts. The Users icon in the Security card in ATS Configuration manager home page and in the Users card in ATS Security home page will show a modified user icon when there are accounts in the Pending approval status.

 

Click on this icon will load the Users - All users grid filtered to show only the Pending approval accounts. To approve a pending account from the users grid:

 

1. Click on the Pending registrations button in the Users - All users grid All users view. This will load only the accounts with Pending approval or E-mail not confirmed statuses.

2. Open the context menu for the user account with Pending approval status.

3. Select the Approve option from the user's context menu.

4. Click on the Yes button in the confirmation pop-up window.

 

A success notification appears for successfully approved user account. The user is no longer visible in the users grid when the Pending registrations button is clicked. To see the approved user load the Active users filter for the users grid.

 

Delete account with not approved e-mail address from registration

Users that register from the login page, but have not yet confirmed their e-mail address end up in the E-mail not confirmed status. An e-mail address (user) in this state can be re-used for a fresh registration only when removed (deleted) from the system.

 

To delete an account with not approved e-mail address from registration:

 

1. Select the Delete option from the user's context menu.

2. Click on the Yes button in the confirmation pop-up window.

 

A success notification appears once the delete operation is successfully completed. The deleted user is no longer visible in the users grid.

 

Edit user from User details blade

Select the Open option from the user's context menu. The User details blade is loaded on the right. The User details blade has three tabs:

 

Profile - Here you can see details for the specific user, such as login, account and contact information.

Roles - Here you can see which Roles have been assigned to this user.

Application info - Here you can see values assigned to this user for custom application fields.

 

The Profile tab is loaded initially. There are Unlock, Save, Discard and Change password options in the top right corner of the User details blade - Profile tab.

 

The Unlock option is enabled only for users which are locked. The Save and Discard options are disabled until you modify some fields in the form. Click on Save will apply the changes to the user. Click on Discard will discard your changes and restore the original values in the modified fields. Additionally click on Discard will make the Save and Discard options disabled again.

 

Also, as long as the form fields in a details blade are not modified it is possible to work with the "parent" grid (Users grid in this case). Once some modifications are made in the User details blade the Users grid becomes "disabled" - grid interactions are no longer possible until you complete your changes with a Save or close the details blade.

 

If you navigate to another tab in the blade without explicitly saving your changes made in the previous tab your changes will be lost. Click on the X button in the blade header closes the User details blade and also all your changes which were not saved are lost.

 

Edit user profile

The user profile data is divided into three sections in the Profile tab:

 

1. Identity section - contains display name, user name, first and last name fields for the user, user photo; shows the user source (local user or user coming from certain external identity provider). Username and Source fields are read-only.

2. Account section - contains account details: whether the account is active or deactivated, the authentication e-mail which is the e-mail address to which ATS Security sends notifications to this user. When password expiration is enabled in the settings section then the Account section also contains details about password expiration date and a "Password never expires" user-level setting field.

3. Contact info section - contains contact details for the user such as address, phone, city, ZIP code etc.

 

Steps to edit user profile:

 

1. Make the desired changes in the Profile tab.

2. The Save option becomes enabled.

3. Click on Save.

3a) In case some of the mandatory fields is empty or fields with custom validation have "invalid" values the Save action will not be executed.

3b) First fix all invalid form fields and then click Save.

4. The User details blade closes and an appropriate push notification will appear depending on the outcome.

 

Deactivate/Activate a user

 

The Deactivate and Activate operations for a user can be completed from the user profile tab as well. There is an Active check-box in the Account section of the user profile tab. When checked, the user is active.

 

1. Remove the check to deactivate a user or check the check-box to activate a user.

2. The Save option becomes enabled.

3. Click on Save.

4. The user details blade closes and an appropriate push notification will appear depending on the outcome.

 

Unlock locked user

When a user is locked the Unlock option in the User details blade - Profile tab is enabled.

 

1. Select the Unlock option to unlock a locked user account.

2. Click on the Yes button in the confirmation pop-up window.

 

A success notification appears for successfully unlocked user.

 

Approve registration for a user

When a user is in Pending approval status the Approve registration option in the User details blade - Profile tab is present and enabled.

 

1. Select the Approve registration option to approve a pending user account.

2. Click on the Yes button in the confirmation pop-up window.

 

A success notification appears for successfully approved user.

 

Change user password

The Change password option on the User details blade - Profile tab is always enabled. To change user's password:

 

1. Click on the Change password option in the Profile tab.

2. A Password reset blade is loaded on the right with two fields Password and Confirm new password.

3. Provide matching values in both fields - you can use the "eye" icon in the fields to make the masked values visible.

4. Select whether the user needs to change password on the next login.

5. Click on the Save button.

6. The Password reset blade is closed and an appropriate push notification will appear depending on the outcome.

 

Assign/Remove user roles

 

To edit the roles assigned to a user open the Roles tab in the User details blade. The roles are displayed in a User-roles grid. This grid has two columns: Role and Rights. For each role there is a context menu which is opened by clicking on the context menu icon (...). The context menu options in "edit" mode are:

 

 

Remove a role from a user

From User-Role details blade

1. Select the Open option from the user role context menu.

2. A User-Role details blade is opened on the right describing the user-role relation and which rights the user gets by being assigned this particular role.

3. Select the Remove option in the User-Role details blade.

4. Click on the Yes button in the confirmation pop-up window.

5. The User-Role details blade is closed. A success notification appears for successfully removed role. The removed role is gone from the User-roles grid in the Roles tab of the User details blade.

Using the context menu Delete option

1. Select the Delete option from the user role context menu.

2. Click on the Yes button in the confirmation pop-up window.

3. A success notification appears for successfully removed role. The removed role is gone from the User-roles grid in the Roles tab of the User details blade.

 

Assign role to a user

Assign single role

1. Click on the Add button in the top right corner of the User-roles grid.

2. A Select roles blade opens on the right with a list of roles defined in the system and a search box.

3. Find the desired role and check its check-box.

4. Click on the Select button.

5. The Select roles blade is closed. A success notification appears for successfully added role. The added role is visible in the User-roles grid in the Roles tab of the User details blade.

Assign multiple roles

1. Click on the Add button in the top right corner of the User-roles grid.

2. A Select roles blade opens on the right with a list of roles defined in the system and a search box.

3. Find the desired roles and check their check-boxes.

4. The number of selected roles appears in the Summary link below the roles list (Summary(x) where x is the number of selected roles in step 3)

5. Click on the Summary link to see the roles you have selected.

6. Click on the Delete icon for a role in the Summary list

7. Select the Update option in the Summary list

8. The Summary count decreases by 1 (x-1)

9. Click on the Select button.

10. The Select roles blade is closed. A success notification appears for successfully added roles. The added x-1 roles are visible in the User-roles grid in the Roles tab of the User details blade.

Assign new role to a user

1. Click on the Add button in the top right corner of the User-roles grid.

2. A Select roles blade opens on the right with a list of roles defined in the system and a search box.

3. Click on the Add new role option above the search box.

4. An Add role - new role blade opens on the right.

5. Provide Name and (optionally) Description for the new role, then click the Save button.

6. The Add role - new role blade is closed and the new role appears in the list in the Select roles blade.

7. Check the check-box of the new role.

8. Click on the Select button.

9. The Select roles blade is closed. A success notification appears for successfully added role. The added role is visible in the User-roles grid in the Roles tab of the User details blade.

 

Override user password expiration on user level

When passwords are configured to expire on global level, it is possible to override this setting on user level. This way you are not allowing for the specific user's password to expire, even though password for other users will expire after certain configured password duration.

 

To override password expiration on user level:

 

1. Check the Password never expires check-box in the user details blade - Account section.

2. The Save and Discard options become enabled.

3. Select the Save option.

4. The User details blade closes and an appropriate push notification will appear depending on the outcome.

 

Edit user application specific fields

To edit the application specific values for a user open the Application info tab in the User details blade. The content of this tab might be empty in case none of the registered applications has uploaded any specific fields. Otherwise, the fields in this tab are grouped by application.

 

There are Save and Discard options in the top right corner of the User details blade - Application info tab which are disabled until you modify some fields in the form. Click on Save will apply the changes to the user. Click on Discard will discard your changes and restore the original values in the modified fields. Additionally click on Discard will make the Save and Discard options disabled again.

 

To edit application specific fields for a user:

 

1. Make the desired changes in the Application info tab.

2. The Save option becomes enabled.

3. Click on Save.

4. The User details blade closes and an appropriate push notification will appear depending on the outcome.
